Multiple users in drafts

I share an account with 3 other people. When one of us hits reply we
answer our part and then put it in drafts so that another one of us
can answer the rest. The problem we're getting is that at the end of
the day when we send the last version of the draft, it isn't really
the "last" version. What happens is if one person is in it, and
someone else clicks the draft at the same time, outlook doesn't block
you out or only let you open a 'read-only' copy. So it never really
saves the latest version of our draft. This is a big problem since
this is how our company runs and only lately have we had this problem.

So only lately you are starting to open the Draft at the same time?
Consider implementing a workflow system so you can see the status and
current responsible person for the item.

Well we actually don't know how long we've had the problem. When I go to sent items, it looks normal to me because my changes are there but when someone else double checks the sent items, the stuff they wrote in the email the day before are not being saved. If we were all in the same room we would be able to announce which draft we are in so that we don't go into it at the same time but that's not the case.

Depending on your version of Outlook you can assign it a colored flag or
color category when somebody opens the draft for editing. When he/she is
done it can be removed again. This can act as an indication that the Draft
is currently in use.
