Durga, Thanks for the input. I am missing something here. Yes it opens as a
Business Activity. Why? What is the profile that it is lost from? The email
is still sitting in my inbox as it is just a few days old. Additionally, I
have created a mail folder called "Keep" where I put all email that I intend
to keep for further reference. So what is a Business Activity, a new term to
me, and why did the email get detached, so to speak from being an email?
Thanks.
Hi Jim,
Normally you will see a Business Activity form displayed when the original
history item (in this case, message) is deleted from the BCM database.
Business Activity shows information about the item which was stored in the
database previously.
However in your case, you say that the email is present in your Inbox. It
could be that when you received the email you were logged in as another user.
(Observe the "Created By" coulumn in the History list). If the "Created By"
column is not the user you are currently logged in as, you will see the
message as a business activity. This is the case during a shared database
scenario.
If the email is still in your Inbox, you can relink all your emails to open
your email message as a message, and not business activity.
Go to Business Contact Manager -> Manage Email Auto Linking -> select the
emails of Accounts/Business Contacts you want to link -> select the Folder
tab and select your folders (like "Keep" folder) -> click on Search and Link
button.

Just a clarification,
you'll see the generic Activity form when Outlook cannot open the
original item (Appointment, Task, or Email), usually because it has
been deleted. In that case BCM display the Activity form with the
information that was preserved in the BCM database.

Thanks for the response. I am beginning to understand. Jim

Durga, You bring up an important question for me. So are you saying that if I
link an item to a contact and then delete that item, a "business Activity" is
created and the information is retained in the history of the contact? If
that is true then I do not need to have my "Keep" folder to store messages
etc that I want to keep attached to a contact? I generated the Keep folder to
be able to store the information so that it is available later. If what I am
understanding is true then I can delete the items in the Keep folder and know
that the information is being retained. I repeat myself in an effort to
convince myself that this is true. Ha, Jim

This is true except one caveat. When BCM creates a "business activity" for
linked email, it only stores part of the message body if the message is big.
I believe the limit is 1000 characters or so. This limitation is due to
permormance reason.
