Booking a conference room

Hi guys.. this is my first post so I will try to be as descriptive as possible.

My company has 4 conference rooms. I have been asked to come up with a
method so that the following can take place. If a user wants to 'book' a
room, all they would need to do would be send an email to an account that
corresponds to that room. Then that room calendar's time would be filled and
no other appointments would be possible. If someone tries to book a time that
was taken, i would guess a message would be sent back saying that time is
already booked.

IS this possible and if so.. how can i do this? What steps do i need to take?

Exchange 2k3 Server

and all our clients use Outlook 2k3

Create a mailbox, one for each room.

Simply use the calendar for this address to schedule meetings. Share the
calendars out with everyone.

Then everyone can add these calendars to their Outlook & open, view & add to
them as needed.

If all my company users did this... would each calendar be updated when a
meeting was scheduled?

By "each calendar", I'm assuming you mean each company users calendar?
Their personal calendars will not be updated (unless they were put on the
appt when the conf room was scheduled) because they are not the conference
room. The conference room calendar will be updated & every user is simply
viewing the calendar which is assigned to the conference room.
They still have their own calendars.

But yes, when they view the conf room calendar, all changes would be seen by
everyone with access to the calendar.
