You can use views to set them, but they only display when you use the view.

Thanks but i am not sure what you mean - i may have not been clear in what i
meant.

If i enter an appointment under a specific category for example how can i
set the calender to show all appointments for that category in, for example,
brown?

Use Automatic Formatting and set your criteria using the options in the
dialog box.

For instance, I changed one of my labels to Sports and Entertainment, and
set the criteria for Contains Dodgers,Braves,Lakers,Packers,Rams, etc. -  If
I then enter an appointment (calendar-updates in this case) all of the items
that have those words in them show in the specified color.

Thanks for your help. I understand what you say but must be doing something
wrong.  Just for clarity i right click on appointment and select Automatic
Formatting, add a rule for this view(called say education).  Select a label
(say business). click conditions, search for word (say Basic) in subject
field, click more choises tab and select category (say education) and click
OK.
Nothing appears to happen  Does the search for word have to be exact or can
you use wildcards?
Will this then up date all appointments previous;y created with above
criteria.

Sorry to be a pain but would like to get this right.
Thanks

Create a custom view (http://www.outlook-tips.net/howto/custom_views.htm)
and set up an automatic formatting rule to  use a label color on all items
meeting specific conditions - categories or whatever. As long as the view is
active, the items will be displayed with that color label.

The filter does not accept wildcards, but it uses partial words if you
choose 'contains' as the condition.

I too have this question, and these answers aren't clear to me, I am not a
technical genius, but almost there.
I want to attach a label color to my categories, so that when I enter new
appointments and select the category they should be in, it will automatically
attach that color label to them.  I am not understanding from these replies
exactly how to do that.  Can anyone clarify it?
Thank you.

Hello
I figured it out....in 2003, if you are in the Calendar view and right click
then go to Automatic Formating, there it lets you choose the Category and
apply a formatting rule to it (adding the label).  For those interested,
open Automatic Formatting, choose ADD, name it whatever you want, say
Birthday, choose the label you want associated with birthdays, then click on
Conditions and on the 2nd tab (More Choices Tab)  click Categories and select
Birthdays.  That is it, click OK to get out of it and when you get back to
the first box, you can add the rest following the same steps.
