Outlook Calendar currently has a provision for entering the number of
minutes, hours, etc. to be notified in advance of an appointment. What it
does not do, is allow you to adjust your calendar to enter the amount of
travel time necessary to get to that appointment. For example: If I have a
board meeting at 10:00 a.m. and I enter it in the calendar, I also might
choose to give myself 15 minutes notice so I can finish up on what I am
working on, get my noted together, etc. The meeting is a half hour's drive
from my office location, so using outlook, I currently have to factor in my
driving time when setting the appointment. If Outlook had a field to enter
travel time (It could even by tied to the location field and could
automatially populate when a certain location was selected) I could better
plan my meetings etc. Others using my calendar for the purpose of setting up
meetings do not see my reminder time, because it is not highlighted on the
calendar. Any travel time selected should be greyed out on the calendar using
a different color to let others know you are unavailable, but to also let
them know that you may be available by cell phone, blackberry and other forms
of communication.
