How can I set up an appointment or meeting template in outlook?

I run corporate training for a national company & am looking to be able to
invite new starters/trainees to a series of 5 training sessions in their
first couple of days. I send the same info out every time & would like to be
able to set up 5 separate meeting templates that contain a standard subject
in the subject line, standard location in location line & standard text in
the body of the appointment/meeting with a PDF document attached. If possible
I would also like to have it default to the label of phone call & show in
yellow but this is just a nice to have at this stage!

how can we know which version you have?

please post a few useful pieces of data every time you have a question.
This is a good question BUT we need to know version and platform (MS
Exchange etc).
