When I send emails (Outlook) from a distribution list the recipients can see
everyone else's name I've sent it to. I'd like to prevent that from
happening. Is this possible?
Russ Valentine [MVP-Outlook] - 10 Feb 2005 22:22 GMT
Put the addresses in the BCC (Blind Carbon Copy) field of the mail header.
If that field doesn't show while you're composing a E-mail go to the View
menu and select 'BCC Field'.

Alternately you could use an application like the ones listed here:

Russ, I downloaded the trial of Send Personally, but cannot figure out how to
get it in Outlook.  Went to OPTIONS/OTHER/COM ADDINS.  Any instructions would
be VERY MUCH appreciated!!

You'd need to contact the manufacturer of the add-in. I've never used it.

I don't want the recepient to see BCC. Is there a way to show only the
distribution list name as in Entourage?

Not sure you understand.
The recipient can't see the BCC field. That's why it exists: to hide
recipient names.

Doesn't the recipient see that they are receiving a BCC?

Not a chance.

That isn't true, because when you send someone an e-mail using BCC, their
name is not in the TO.  It doesn't show up anywhere, hence they will know
they are receiving the e-mail via BCC.

The fact that your name is not in the To field doesn't mean you're receiving a message where someone explictly sent to you as a Bcc. The message could have been sent to a mailing list. Most people don't consider mailing list mail and Bcc mail to be the same thing.

Also a few mail clients will put your name in the To box when you get a Bcc, if the To field has no existing entry.

Sue,

Then why else wouldn't your name be on the e-mail if it wasn't sent using
BCC.  What is a Mail List in Outlook?  Are you talking Distribution List?
How would you prove that the e-mail was intended for you, if your name isn't
on the e-mail at all?

If I send an e-mail using TO with a distribution list, everyone's name shows
up on the e-mail, but if I were to send it using BCC, there wouldn't be any
names on the e-mail.

I guess our mail client doesn't do that.

Thanks!

If you're a member of one of the many yahoogroups and googlegroups lists (and lists hosted at other sites) that I am a member of and I send a message to that list, you will receive a message that does not have your name on it. Instead, the To box will show the list's address. That is how a mailing list works.

A distribution list in Outlook is a convenient way of sending to multiple people by specifying a single name. It does not function like a mailing list. However, some people fake it by sending to the DL as Bcc and putting in the To box a fake To address that makes it look like a mailing list.

As I said, if you send with only Bcc recipients, you can't control how the message looks to the recipient. In the absence of a To recipient, some mail programs will scan the message's RFC-822 header for the Apparently-To address, which will be the recipient's address, and show that in the To field.

How come when the Office Manager at my office sends us an email, the name of
the Distribution List (say "Marketing", for example) comes out in the To:
box. I've also done it before, but now I have a mass mail to send and I can't
to do it right, it keeps showing all the addresses instead of the title of
the DL. Thank you. Lucy P.

Put the DL in the Bcc field and receipients will not be able to see the
other recipients.
