When creating an new email message, after clicking
the "To:" button the "Select Names" dialog box appears.
Note:Not all listings are duplicated.  Under some names
there will be two of the same entry listed.  However when
you click the top one ie. John Doe and select to it
displays  John Doe(john.doe@msn.com).  When you select
the second one and select to it dispalys John Doe
(Business Fax).  Which of course is not an email
address.  If I delete to second entry listed here the fax
number in all cases has disappeared.  Once I re-enter the
fax number the second entry reappears. These duplicate
entries are an troublesome.  Is there a way to correct
this problem?  Also note, that under the contact listing
there is only one entry.

Behaving as designed. Fax numbers are, in fact, electronic addresses. The
standard behavior for the Outlook Address book is to display all electronic
addresses (both fax and e-mail). That behavior cannot be changed. The only
way to prevent the display of fax numbers is to store them in a different
field or to disguise them (e.g., precede them with an alpha character) so
that Outlook won't recognize them as phone numbers.
There are also a number of utilities available that can do this for you
automatically. Some are listed here:
