Master Category List duplicate entries

I am having a problem with the Master Category List; I had created ten
entries for my company's MCL and was living happily ever after;
recently a colleague complained about access to certain Contacts and I
discovered that duplicates had migrated into the MCL with "(not in the
Master Category List)" appended to the duplicate item; we use Exchange
Server and the 15 computers we have use XP; is this an issue related to
updating, editing priveleges, synchronization between Excahnge Server
and Outlook or what?

There is no "my company's MCL." Each user has their own MCL. People who see "(not in the Master CAtegory List)" don't have that particular category in their MCL. That doesn't mean they can't use it.
