Sending to large number of contacts

Hi, my client is a PR company and they need to send out press releases to
large number of contacts on a daily basis. They have a list of around 5000
contacts, currently these are all individual contacts within a Contacts
folder on an Exchange server. I need a simple robust solution for sending
mails out to everybody in this Contact folder. My first try was the use of
distribution lists, but experiencing a limit of around 50 addresses per list
this quickly became impractical even when breaking down the lists into A -
Z... I'd have 100 separate distro lists then I'd need at least another 2 to
then make 1 final overall list.

I have tried to select all the contacts within the Contact folder (simply by
doing a Ctrl-A) and then using the 'New Message To Contact' icon to send to
all of the addresses. Outlook then hangs, probably due to the fact it's
trying to create an email with a To list of 5000 contacts!

I guess my next question is, are there any (free) mass mailing tools that
will allow me to easily send an email to everybody in a Contact folder,
preferably ones that integrate seamlessly into Outlook with out bringing up
the security prompt? (or a subset of - would be a nice additional feature).
I don't need mail merge options, i.e. the mail need not be different based
on the Contact, it's just the same email going out to everybody.

The list needs to be easily updatable as contacts will need to be added
easily by users on a daily basis.

Thanks in advance.

Hi Mathew,

we use the default Outlook mail merge function for our newsletter to a few
thousand company customers:

Oh that's great. Thanks a lot. I didn't realise you could start a mail merge
from within Outlook, I thought you had to load Word separately then browse
for the contact list in the merge wizard. That's amazing, thanks.
