Emailing Distribution Lists

I have been asked this question by a person at work, and do not have an
answer - does anyone else know why this may be happening please?

The person has no problem emailing single contacts, recipients are able to
save them to their contact lists.  However, when she sends a distribution
list, although the recipient receives it, opens it and saves it, the
distribution list does not appear in their contact list.  I tried it out, and
she was absolutely right.

Is this a known problem, or could it be the set up of Outlook in the company?

Thanks
Aehan

The method to send a DL to another Outlook user is well documented both here
and in the KB:
Insert it as an Outlook Item in an RTF message.

The recommended method is exactly what was done (or so I believe).  Outlook
is set by default to send Emails as Rich Text in the company concerned.  Even
sending as Rich Text when the DL is inserted as an Outlook Item, when the DL
is opened and saved by the recipient it is not added to their Contacts folder
(they also have Rich text as the default).  The version used is Outlook 2003.
This is a real problem for us, it may be that we are not using it correctly,
if so I would be really glad to have some advice.  :o)

Cannot repro your problem. Seems to work fine for everyone else. You must be
missing something somewhere. It's hard to imagine anyone who has RTF set as
their default.

Rich text was set because a very large company was migrating over a period
from Office 97 to Office 2003, it was set for compatibility purposes.  Thanks
for looking at the problem, although it remains a real problem for us.  It
seems strange that this large organisation has a problem that no-one else
does.

Don't forget that individual Contacts might be set to receive messages in
plain text only.

Thanks for your help.  At last I have found the solution and it is so simple.
I was using the guidelines given in Outlook help, which advise that you open
the received distribution list and click on the save and close button - this
didn't work at all.  I looked through more help on groups and found an
article by Sue Mosser, she advised that you drag the icon representing the
Distribution list from the received Email to the Contacts folder (using RTF
format) - it WORKS!!!  Thankyou to everyone on groups, I was tearing my hair
out.

The other method should work too and seems to for everyone else. The DL is
saved to your default Contact Folder.

Is the recipient also within the company and are you using Exchange?  If
either condition does not apply, open the Contact record of the recipient
and double-click the E-mail address.  Examine the "Internet format" field
and make sure it says "Send using Outlook Rich Text format" to force Rich
Text and see if it makes a difference.  If you'[re using Exchange and the
recipient is in the same company, then forget the above.

Yes we are using Exchange and the recipients are within the company, however
there have been loads of customisation that may have caused problems.  The
drag and drop method works, and I will advise that everyone uses this, if it
works don't knock it is what I say.  Thanks to everyone for their help and
input.

Happy Christmas
