MS Office Forum / Outlook / Contacts / February 2008Categorized Contact List idifferent when clicking on email TO icon
I'm using OL 2007 and Vista Ultimate. I imported my OL 2002 Contact List from my XP Pro PC. Went fine. I then updated and organized the OL 2007 Contact List by catagory and it views fine. However, when I go to send an email to a contact and hit the email TO icon to bring up my catagorized contact list, it brings up a non-catagorized list, sorted alphabetically by first name. All the Susans and Johns grouped together. Not very useful. How to I get OL 2007 to bring up my catagorized Contact List when I hit the TO button? BTW, I don't want to perform a search to find the email contact. For me, my catagorized Contact List does the job. the address book does not support categories. if you know who you want to send to, just type all or part of their name and use name resolution to pick the name - when its underlined in red, click on it to see the matching names. My followup question is: Can the Address Book be set to display, keying on the Last Name, rather than the First Name? You have two choices for display order in the Address Book: "Firstname Lastname" or "File As". You should be able to adjust it on Tools>Account Settings SignatureBrian Tillman [MVP-Outlook] Brian: I clicked on Tools>Account Settings>Address Books>Show names by:>File as (Smith, John). Then I closed Outlook 2007 and reopened the program. When I opened a new email and clicked on the TO icon, my Contact Address Book came up sorted by last name. The address book is not configurable at all and is just a virtual view of your contacts who have a valid electronic address (email or fax). What is it you are trying to accomplish? If trying to send to a specific category, drag that category from your contacts folder to your inbox. It'll never happen because clicking the To button is a very slow way to address mail. Type in all or part of the name and hit Alt+K to resolve. For example, I may know I want to send an email to the XYZ company, but I may not remember exactly who that person is by name or the correct spelling of the name. Searching for an unknown person from a large corporation in my single, very long list is what I'm trying to avoid. If my contact list is organized by clients, and the various categories show up when I'm writing an email, it allows me to pick out the correct person to write to.
