MS Office Forum / Outlook / Contacts / January 2004Address Book and Contacts problem
I have Outlook 2003. I need to synchronize Contacts and Outlook Address Book. Here is what I've done so far: 1. I right clicked on my contacts folder, chose properties and checked box to use the Outlook Address Book. 2. Then I go to Tools - Email Accounts - View or Change existing directories or address books - Add 0utlook Address Book (type MAPI) and select Finish. 3. I open OAB - all addresses appear to be there but they are listed in First Name , Last Name order. I want to list them in alphabetical order Last Name, then First Name. I go to Tools - Email Accounts - View or Change existing directories or address books - Change ... but there is nothing there... ??? Also - in pull down menu "Show Names from the:" I have 3 entries: Outlook Address Book and two sets of Contacts. What am I doing wrong and how can I correct it? Thanks for all your help, Camus You left out how you ended up with two Contacts Folders in that list. Remove the one that is invalid. If you can't tell which that is, pick one. I removed OAB from there. There is NOTHING listed under Tools > E-mail accounts > View or change existing directories or address books. I still have OAB by the way - except it is listed in First - Last name order. So I am back to square one. I told you to remove the Contacts Folders listed in the Outlook Address Book, not the entire Outlook Address Book. Add the Outlook Address Book back, then use the Change... button to add back only the Contacts Folder you want displayed. Thank you, :) Go to Tools | E-mail accounts, select "View or change existing directories or address books", and click OK. If you don't see the OAB in the Directories and Address Books list, click the Back button, then select "Add a new directory or address book", then "Additional Address Books", and add the OAB. Then keep clicking Back until you get back to the first dialog box, and go back to the Directories and Address Books list as you did earlier. Once the OAB appears in the list, select it and then click Change to make sure the Contacts folder(s) you want to display are listed. If any of them aren't listed, you'll need to enable those Contacts folders as Outlook Address Books by right clicking the folder, selecting Properties, clicking the Outlook Address Book tab, and checking the "Show this folder as an E-mail address book" box. Make sure you restart Outlook after making these changes. However if I click 'change' button to sort by Last Name - OAB is not there. If I choose "Add a new directory or address book" I get OAB and PAB listed as options to add. The Outlook Address Book should not appear in the Change... dialog box, just the Contact Folders you want to display the and sorting options. If in fact you have the Outlook Address Book Service in this profile and yet you can't select the email address book option for Contacts Folders in the same profile, the Outlook Address Book Service is corrupt. Remove it. Restart Outlook. Re-add it and reconfigure it.
