When I send a v-card to my secretary (also using 2003)
all the information in the fields are there but all the
information in the notes window are gone.
Any ideas?

Did you actually open the vCard itself with Notepad to check what data is
being sent? I think you'll find that the notes are there. The problem is
that Outlook 2003 doesn't display them when you open the vCard in Outlook.
Download and install Office 2003 Service Pack 1, which fixes this issue.
