MS Office Forum / Outlook / Fax / May 2006Fax Number Not Displaying
Outlook XP has suddenly stopped displaying all contacts fax numbers in the "select names" window when attempting to "send new message" to a contacts fax number via the fax console. I have tried updating windows xp & office; I ran detect and repair and found nothing; I ran a scan for malicious software but found none; I have confirmed that the "Fax Mail Transport" account seems to be present and properly configured; I have checked the "Fax Printer Configuration" properties which seem to be ok; and I repaired MS office xp installation... all to no avail. Any ideas would be appreciated. State the changes you made just before "suddenly." State the program that is the default Contacts Manager for your operating system. State whether your fax recipients appear as they should in your Outlook Address Book. The computer seems to have slowed down a bit over the last several months since I added a 2nd flat screen monitor on my dual monitor video card. Sometimes the sysmem or some programs have become unresponsive, which may be caused in part by simultaneously running too many programs. During the previous week I had 2 hardware/software installations fail; Power Chute for my UPS, and the driver for an Adaptec Fire wire card. I abandoned both installations, removed the hardware, and restored the computer system to it's previous state. My default contact manager is outlook xp. But I still need you to check how the Outlook Address Book appears, not the Contacts Folder. I have a hunch your Outlook Address Book got corrupted with all these crashes and system restores. When you examine Tools > E-mail accounts > View or change existing directories or address books > Outlook Address Book > Change. how many Contact Folders do you see there? Are all fax numbers missing from the address book in XP fax, or only some? State whether these fax numbers ever appeared and whether you are now referring to the Outlook Address Book or the Address Book you invoke from the Fax Wizard. Open a Contact Record whose fax number is failing to appear and verify that the Contact has a valid, resolved fax number in a fax field. I haven't used the fax wizard. I always invoke a fax in the same manner as I do an email. When a contact is highlighted in outlook, I invoke a new message to contact and click on "To:" to select the contacts fax number from the "Select Names" window which displays the outlook address book "contacts". This is where contacts fax numbers use to appear but don't anymore. All fax numbers have always appeared and worked with this methood until recently. All contact records checked appear correct and as they always have appeared. If you've already selected a Contact and used "New Message to Contact" then there is no reason to invoke the To: button. You have already selected your recipient address. Let's just stick to my original question. Tell me what you see in your Outlook Address Book. Tell me what you changed just before "just recently." The reason to invoke to the To: button is to select any other address for a contact besides the default email address. When I select a contact and use "new message to contact" outlook defaults to the email address. If I want to fax I always must invoke to To: button and change the address by selecting the fax number. All contacts fax numbers display correctly in their respective contact folder. Fax numbers appear in the resulting window when I click on the To: button for contacts with no email address. Fax numbers NO LONGER APPEAR in the resulting window when I click on the To: button for contacts with email addresses. What did I Change? I would start by using Outlook correctly. New Message to Contact is used to send a message to the default email address. Since that's not what you want to do, start a new message and select your recipient from the Outlook Address Book. If that doesn't work, post back. Whether I invoke a new message from the inbox screen or from the contacts screen both methods present me with the same "untitled message" window. The former leaves the To: field blank while the latter populates it with the default address. Addressing the message from there is identical in both methods by selecting the To: button and choosing an address from the outlook address book; contacts. Is this what you are referring to? I am confident that both methods work consistantly as evidenced by the thousand faxes that I have sent over the past couple of years. What seems to have happened to Outlook is that for whatever reason (perhaps one of the recent crashes) it is no longer displaying the fax field in the address book from a contact that also has an email address. You're confusing me. So now you're saying that neither method for invoking the Outlook Address Book includes fax numbers? If so, remove the Outlook Address Book from the profile. Restart Outlook. Add it back, making sure your Contacts folder appears there. Restart Outlook.
