Save as 97-2003 and spacing skews, how to fix

connie - 23 Apr 2007 17:44 GMT I save PPTs as PPT 97-2003, and when I send it to someone who does not have 2007, the spacing on the slides skews or shifts. Numbers in columns no longer line up. My version is fine, the other person's version is not. Does anyone know why this happens? Anyway to ensure it doesn't since these ppts go to speakers using them at conferences.
Thanks.

Echo S - 23 Apr 2007 17:59 GMT Sounds to me as if you've used a font the recipient doesn't have. Have them go to Format | Replace Fonts. Is anything there listed with a ? before its name?

I will make sure that the individual has the fonts, but we are talking lucida sans I believe, which his version should have. Sounds logical though and I will check into it. Thank you. If not the fonts, could it be anything else?

Also, how did you align the columns of numbers? There is a difference between PPT 2000 and later versions with how tabs + spaces align vs just tabs. I can't remember the details -- I just remember there was a difference and it used to bug the $#% out of me. :-) And since we have different tab capabilities in PPT 2007, it may cause issues, too.
Actually, do you have a sample slide you could send me? Please just keep it in the 2007 format and email it with a reminder of what the problem is to echos at indy dot net.

I did not save as a 2007. I used the tab key to set up the column, with the smaller numbers have some spaces after the tab so all the numbers would be right-hand justified. I can send you a slide in the 97-2003 format if you think that would help. Every time I make changes and send the presentation back to him, when he opens, the same slides come up out of alignment, as does the footer.

Click the little L-shaped icon just to the left of the ruler to change the tab type.
PPT 2007 applies tabs to each paragraph individually, whereas 2003 applies them to the textbox as a whole. I suspect that might be contributing to the issue, even though you didn't actually save the file as 2007 format.
What's happening with the footer?
This also has the feel of a font problem. You might send him the Lucida Sans from your system and have him reinstall it on his.
And sure, if you'd like to send a sample problem slide, I can take a look.

Example:
blahblahblah 27.3 blahbla 5.4
You get the idea. I have found that I cannot separate a line using more than one alignment tab (left aligned for the text, right aligned for the nos. in the same line). If you know a way, I would love to know.
The font issue sounds solid, I will use more general fonts when dealing with older versions to ensure consistency. I really appreciate your responding to my issue. Thanks a lot.

Echo S - 24 Apr 2007 19:14 GMT Use left-justified alignment for the textbox, then click the tab icon, change to the right tab alignment (or the decimal tab, if the numbers are in the format you mentioned below), press Tab key, then type the numbers. Click and drag on the ruler to adjust the placement of the tab stop.
I use this all the time with text before the tabs. I often mix tab alignment (left, center, right, decimal) within the same textbox. There shouldn't be a problem. However, you do want to make sure the textbox -- the text alignment itself -- is set to left-justified, not to centered. If you need to center text, you'd add a center tab and a tabstop before the text.

Echo S - 28 Apr 2007 19:59 GMT You're very welcome. Just remember that 2003 and prior versions apply tab stops to the entire textbox. So if you add a tab to a line of text, it's in position for all the other text in that textbox, too. That means you sometimes have to hit Tab an extra time or two in some lines of text to get stuff positioned properly.
PPT 2007, on the other hand, applies tab stops per "paragraph" of text.
So it may be that, if you applied different tabstops to individual paragraphs of text in 2007, when you save as 97-2003 format, it's moving the text because it's applying the stops collectively to all the text in the textbox.
Just thinking aloud....
