If you create new caption lables, Word saves them to normal.dot. This means,
that they will not be available (i.e. for cross-referencing) if you send the
document to someone else, who obviously has his own normal.dot.
Does anyone know how you can force Word to save all definitions of captions
to the DOCUMENT instead of normal.dot? Or is there another convenient
solution to use captions in documents that are transferred between many
authors?

As I understand it, the captions are part of the hidden baggage in
Normal.dot and there is nothing you can do to transfer them with a document.

You could perhaps set up a macro to do the caption creation, and send than
in or with the document.
The alternative I would probably choose myself would be to use autonumbered
styles (possibly an unused low-level heading style) in place of built-in
captions, but that does require a) some confidence that you can handle
autonumbering reliably and b) a rethink on how you add captions to figures,
create your figure lists and so on.
