I have multiple pages that I need to alphabetize.
Currently it only alphabetizes each page and I need it to
do this for all pages. How can this be done?
Suzanne S. Barnhill - 19 Nov 2003 19:22 GMT
Are you selecting the entire document before sorting? If these are labels
created by a mail merge, then you're sorting in a table, and each page is a
separate table because Word inserts a section break at the end of each sheet
of labels.

I am selecting the entire document and they are labels but
I have not done a mail merge??  that I know of.  Is there
a way to create labels and sort them alphabetically for
multiple pages? Thank you for your help.

Well, you can't actually sort labels in the way you think because you can
sort on only one column of a table at a time. Your best bet is to convert
the labels into a database, which you can sort and use as a data source for
a mail merge. See

That does not work. I tried the whole process and it
didn't do anything but scramble all the labels.  These are
actually file labels that have 1 or 2 lines. What I
actually need is to be able to add to as we get new
customers and resort them into alphabetical order. Is
there no other way??

The process Graham describes is not to create new labels but to create a
data source from which labels can be merged. You need to learn how to use
mail merge. See these articles:

Making a mail merge does not accomplish what I need. I
need to be able to add and print new labels then resort
the whole list alphabetically. A mail merge does not allow
me to do this because the source document will not work
that way. I would have to enter everything two or three
times.

If you create a mail merge data source, you can print labels for specific
records. You can resort the data source as needed. You may not like it, but
this is the only way to accomplish what you want to do; labels cannot be
sorted because they are set up as a table, and tables can be sorted on only
one row at a time.

Why will my source document not format like the label
document?  It is just a list on the left side of the page
and still doesn't sort quite right.

Can you give us an idea of what the list looks like and what you're trying
to sort on?

The list is only 2 columns both on the left side of the
page. I can stretch them to make the characters fit each
field but then it loses the second field from the first.
They have to be together. I would rather have both fields
fit together as close to the label format as possible. It
doesn't have to be exact. Also, when I add labels it skips
a line and/or a label space on the actual label document,
not the source document. I can't cure this either.

You've totally lost me. Would you like to email a sample file for me to look
at? Tell me what size labels you want to use and I'll return a sample mail
merge data source and mail merge main document.

Hello!
Why use Word to sort the data?

Word is NOT a good data sorter.
Use Excel (recommended in your case) or Access to do this
work.

Using Excel
Just try to export and import your data in the following
way:
1. "Table | Convert | Table to text"
2. Copy the text into *.txt
3. Open a blank Excel
4. Choose "File | Open | Open *.txt"
5. Follow the instruction of Excel to import your data

Use Excel and you can get rid of your problem.
Also Excel should be more than enough in your case.
If you wish to have powerful database with more advanced
functions, use Access.
