Which version of Word/Excel?
Have you saved and closed your Excel workbook?
Does your Excel Workbook have one sheet, or more than one sheet?
How is your data laid out in Excel? You should have a table of data where
the first row contains a heading for each column.

Thanks for answering my question re Mail merge.
I am using Microsoft XP and my data is in Excel (columns headed c-name, s
name, add1, add2, add3, add4.
I have done this many times before successfully ~~ and some times not when
I have a new list of names (saved & closed) and I try to mail merge I get the
message "Word unable to open data source"
I have gone around a long way to correct this problem ~~ by opening a
previous list which I know works ~ saving it by another name ~ then closing
it, then I open the file that works delete all data, open the new data file
(that won't work) copy the data and paste onto the blank file.
Then I can complete the Mail merge successfully. ~~ BUT WHY ALL THE HARD
WORK???
