MS Office Forum / Word / Mailmerge and Fax / November 2004Changing the default address insert fields
In word 2003 when I click on the address book icon and select an address to insert from the list in "Contacts" it automatically inserts into word the "Name"; "Street Address", "City", "State" and "Zip". I would like it to also include the "Company Name". How/Where can I change the default setting for this automatic entry and have it include the "Company Name" by default in all future entries? When I did this (below), I ended up being able to get the first name, last name, and the company name but now I don't get the Street, City, State, Zip? I tried to edit what you had in order to ge the items I want, but I was not successful. The <PR_POSTAL_ADDRESS> field should insert the address flagged as the postal address (either business or home). Is there enough room on your envelope to take the extra line? See http://www.gmayor.com/changing_envelope_layout.htm. What heppens when you insert an address into an ordinary document? If all else fails, remove the postal address field from the autotext and replace it with the required address fields - see http://www.gmayor.com/Macrobutton.htm for a list of the available fields and for another method of inserting addresses. In the example shown, the curly brackets are not field boundaries, but merely placeholders that eliminate blank lines when the address lines are missing. You could remove the brackets from the missing address fields and see if that helps. I resolved the issue by continuing my research and following one of your other responses to a website for using macrobutton fields. On that website there was a link to www.slipstick.com/contacts/insword.htm which gave me a list of field names for the AddressLayout Field and by using <PR_STREET_ADDRESS> <PR_LOCALITY>, <PR_STATE_OR_PROVINCE> <PR_POSTAL_CODE> to modify my AddressLayout, I was able to get the Street, City, State, Zip to print for my inserted address. Hmmmm. That is essentially what I suggested a few messages back when I pointed to my web page which lists the available fields. However as long as you have fixed it, that's all that matters. It is worth noting that Word will not display any addresses from Outlook Contacts (using the postal address field) that are not displayed in the Contacts detailed address card view. This can happen if you edit addresses from the Address Book view in Word. Where that occurs you must open the address in Outlook and re-save it.
