Recipients dont show up after merge

As I go through the mail merge wizard I get my excel spreadsheet imported and
when I get to the preview where I can shuffel through the recipients the
right number shows up and I can go foward and backwards through the correct
number of recipients but nobody shows up on the document workspace or is
printed.

Which version of Word, and if it's 2002 or 2003 are you using the defaults to
connect, or selecting the connection method manually? What do you mean by "shows
up on the document workspace"? You mean you can't preview the data in the main
merge document?

How about if you open the Recipients dialog box: can you see a list of
information there?

Have you applied a filter to the Excel spreadsheet, by any chance?

If you mean when I select my recipients. I manually go to the file. My
procedure is after exporting the information out of my inventory management
software is to import that file into excel and delete the fields I don’t want
printed in the address.  After saving it out I import the file into word when
asked to do so by the mail/merge wizard. After browsing for the file and
clicking “open” a Mail Merge Recipients dialog box appears at this point and
I can see the list of names and corresponding information with all boxes
checked.

On the fifth step of the wizard "preview your inventory" I can shuffle
through the right number of recipients with the 2 buttons. But in the
workspace where the envelope is shown I see no names and addresses as I
shuffle.  They do not show up when I print either, but the number of
envelopes printed corresponds to the correct number of recipients.

Recipients dialog box: can you see a list of information there?
Do you mean in the workspace where the envelope is shown?  If so, no.  The
box is there but no information is displayed.
If not I don’t know where the recipients dialog box is.

I have not applied a filter.

OK, I'm with you up to this point, and thanks for the detailed
explanation. Where I'd like to be able to look over your shoulder, though,
is the envelope part. Do you mean you go through Tools/Letters and
Mailings, Labels and Envelopes? And what do you do there?

It sounds like what you need to do is to attach an envelope to the main
merge document and insert the merge fields you need for the address, if
what you want is a letter AND an envelope.

If you want ONLY envelopes, then you have to back up to Step 1 in the
Wizard and choose ENVELOPES as the type of mail merge. You should get
prompted for the type of envelope, and you'll get an envelope "document"
on the screen. Insert the merge fields into that, execute the merge (Step
6).
