merge "hanging" for a record,

Tig - 04 Nov 2004 19:46 GMT When I merge my database into my form letter, the records seem to hang up somehow. Although all the records are there in the original form doc, they aren't there in the new file. Plus, when checking the "view merged data" button, it seems to show 2 identical record numbers so I have to hit the next record button twice to make it continue to the next number. That's where it stops merging into the new file. Any suggestions? This is the only database that I have that does this...all the others work fine.

Which version of Word are we considering, here? And what kind of database (Excel, Access, other)?

Hah. Every time I think that I've seen it all, Word proves me wrong. Can't recall ever coming across this problem, before...
Do you still the see the problem if you do the following: - Start Word in Safe Mode: Windows START button. Run. Type: winword.exe /a Press ENTER
- Link to the Access database table in the new document Word presents to you - Set up a test merge using the same fields you use in the form letter where you're seeing the problem

Tig - 11 Nov 2004 15:14 GMT Hi, That didn't work either. It got all the way past opening the Access database and then Word gave me the "waiting for Access to accept DDE commands...." before it hung.
I think I need to delete Office and completely re-install....

OK, let's first check whether Access is allowing DDE connections: Open the database, then Tools/Options/Advanced and make sure "Ignore DDE requests" is NOT activated.
If it's not, then there's likely a problem with DDE on your system that could only be corrected by reformatting your drive and reinstalling all your software.
You don't HAVE to use DDE to connect, however; you can use ODBC. So, try this: activate the "Select method" checkbox in the Open Data source dialog box. Now, after you choose the Access file, you'll get a list of connection methods; select ODBC.
If your data is in a query, you'll need to click "Options" and activate "views" in order to add queries to the list of tables.
Does that change anything?

Tig - 15 Nov 2004 15:54 GMT For some reason none of that helped...I ended up having to restore my HP back to an earlier time since the ODBC wasn't found in the registry....now it works with the exception of that one record....for some reason I can't get the merge to view that one, and when I complete a query merge, it says there are no records that match...any suggestions on how to get that one record found and merged?

Hmmm. Try exporting the table (or query result) to an Excel spreadsheet and/or a delimited text file, then see if Word will merge to that.
If it will, then you may need to compact and repair the Access database. If it won't, then we have to investigate what's "off" about that record.

You use File/Export in Access to export the database data to another file format. No need to actually open it in Excel or Notepad, unless you want to see how it looks (and how that problem record has exported).
Then you need to go over "Open Datasource" - just as you've done to select the Access mdb - to choose that file. You can test this in a new document, or try it directly from the main merge document you've already been working with.
