normal.dot the file is in use by another user

If I do a mail merge (foxpro datasource) with Outlook closed all is OK.

If I do a mail merge when Outlook is open (Word is my default Outlook
editor), the process works fine but when I close the mail merge document I
get an error

"normal.dot the file is in use by another user"

It appears Outlook has locked the file and Word is trying to save changes to
normal.dot, even though I have not conciously made any.

How can I stop this undesirable behaviour? (asking all users to close
Outlook before doing mail merge is not acceptable to my users).

What steps are you using to create/execute the mail merge? Most importantly,
I'm wondering if you're using a tool of some kind that's opening a new instance
of Word (rather than sharing the Outlook instance)?

Which version of Word is this?
