Hi,
A few years ago I worked at a construction company that
used Word documents that had fill-in fields for plans and
specs that we would order on a daily basis from different
agencies. The fill-in fields would appear as gray boxes
in the document, and you would press "F9" or one of
the "F" keys and "fill-in" the different gray boxes one by
one with the pertinent information (date, name, address,
etc.) Does anyone know what this is called (so I can look
it up on help) and/or how to create a document like this?
Thank you very much,
Katherine

It's called an "online form" or "protected form." See
http://word.mvps.org/FAQs/Customization/FillinTheBlanks.htm and especially
the forms tutorials by Dian Chapman that this article links to.
