MS Office Forum / Word / Numbering / August 2006Please help! - Phantom numbering is killing me
OK, I can NOT figure out why this is happening. First, I built template with outline-numbered headings. I also built unnumbered body text styles to line up margin-wise with each numbered heading. Template is fine even with the issue I am about to describe. I then created a new document based on that template. Now, suddenly, every time I open the new document, all paragraphs with "Body Text 5" are numbered (don't want that). Style in the document says they should be, but same style in the template is not numbered (correctly). First fix: I "un" number, update the style and save. I reopen, numbers are back. Second fix: I copied good style from template to overwrite bad style in document. Reopened document, numbers came back. If I turn off option to "automatically update document styles", numbers don't come back. Yet it's the style in the template that is correct. I Reset all bullets and numbering galleries except the one I use, thinking the "body Text 5" must somehow gotten linked to a gallery. Nope, still renumbers. I reattached the template and the numbers are fine. I reselect the option to "automatically update document styles" and then numbers reappear. What in Sam's hill is going on here? What's with these phantom numbers? Have I discovered a new bug or rediscovered an old one? Any help would be greatly appreciated! And verify that the settings for non-numbered paragraphs is correct. Specifically, check the problematic Body Text 5 style. Are you sure that it has no numbering (Modify Style dialog box: click Format button, then click Numbering)? Is it based on another paragraph (possibly a numbered one)? If so, setting the base style to "(no style)" could be worth trying. However, note that "Automatically update document styles" (in Tools | Templates and Add-Ins) can be less reliable with numbered styles. You may have to keep it turned off, to get the desired formatting. The original style in the template is not numbered, so it makes no sense. The only way I can stop it is to turn off the buggy "Automatically update document styles" option. Of course now, as I work on the document I find myself modifying the styles that I would prefer be in the template, so I have to make every change twice, one in each document. This might be lurking in your template (in which case you won't be able to get rid of it without creating a fresh template from New) but it's possible you might get relief if you reset all the panes in Format > Bullets and Numbering. Most people seem to confirm that if they set up outline numbering carefully *in the template* following Shauna's instructions to the letter, then it is possible to update numbered styles from template. (In Word 97, you needed to use VBA to get the linkages to stay put.) I don't believe you can get away with writing numbered styles *back* to template from documents (from Style > Modify) though - if you do this you get generally get disconnected outline numbering. I'd give this one more go with a reset B&N gallery and with the outline numbering modified in the template (working from top level style only, and checking each level is attached to correct styles only). You could also try using the Organizer to bring the styles in, but in that case do the copy 3 times (to hit all the potential style cascading and list template dependencies).
