need a template which will encompass all teh folowing fields and can be used
to track teh progress of enquiries through the office

The first is just a single template for Microsoft Excel (cost free): It's in
Office Marketplace:

Purchase Order Template: Create purchase orders and monitor reciepts. This
one is provided by: Buyer Analytics I used "template for enquiry" in the
search terms for all Office online, and this is the one that appears first.

Then I found a site: http://www.templatecentral.com/searchresults.asp?frm=1
This results in a selection of 26 products for Word/Invoice creations.
Hopefully, one of their Invoice formats is possibly applicable to what you
had in mind, and reasonably priced.
